National Operations Manager

The Position

Stand for Children seeks an experienced, reliable and task-oriented professional with a collaborative attitude to serve as the Executive Assistant for the COO, the National Operations Manager for the State Operations team, and provide affiliate support to the Oregon Executive Director and team. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced environment.

Responsibilities

  • Executive Support for the Chief Operations Officer
    • Serving as Executive Assistant for the Chief Operating Officer (COO) by providing assistance in scheduling calendars, travel logistics, expense reports and interactions with direct reports;
    • Coordinating and populating the organization’s quarterly Balanced Scorecard with inputs from key leaders against scheduled deadlines;
    • Creating the quarterly national board packages which entails coordination of various inputs against scheduled deadlines;
    • Creating PowerPoint presentation support, as requested; Conducting research on special projects, as needed;
    • Managing logistics and support for retreats and staff recognition events as needed;
  • National Operations and Office Management
    • Maintain functional and efficient office space: respond to maintenance requests and ensure facility repairs are completed, order and stock office supplies and print materials, create and implement office systems in Portland and for all Oregon staff;
    • Provide responsive internal and external customer service by: greeting visitors, answering phones, returning messages, and managing the Portland shared spaces such as the reception area, conference rooms, lounge, and bistro to ensure a comfortable and welcoming environment for staff and office visitors;
    • Managing relationships with all National vendors;
    • Liaising with the Talent Team and other relevant Shared Services teams to conduct orientations for all new staff on office policies and procedures, and to troubleshoot issues regarding financial and operations procedures;
    • Managing office layout and resources; and coordinating offices moves within the Portland office when necessary;
  • Oregon Affiliate Operations Support
    • Provide executive support to Oregon Executive Director: maintain ED’s schedule, coordinate team calendars, schedule internal and external meetings, complete special projects and research;
    • Provide administrative support to Oregon Affiliate team: manage travel logistics, ensure timely completion of expense reports, serve as primary contact for all shared services teams;
    • Event planning and management: collaboratively plan and execute all Oregon Affiliate events, including a major annual fundraising luncheon (Beat the Odds), staff retreats, lobby days, and other special events.

Qualifications

  • Passionate and unwavering belief in Stand for Children’s mission and strategy to ensure that all children, regardless of their background, graduate from high school prepared for and with access to a college education;
  • Minimum of 5 years of professional experience required;
  • Exceptional, proactive customer-service orientation; strong desire to contribute to overall success and results of office and national organization;
  • Experience with Microsoft Office, particularly Outlook, Excel, PowerPoint and Word; experience with Salesforce preferred; high comfort level with technology necessary;
  • Exceptional project management skills necessary; strong organizational skills and keen attention to detail required;
  • Strong communication skills vital; must be a strong writer and editor, as well as a clear and concise verbal communicator;
  • Proven ability to be mature and discrete, maintaining confidentiality with sensitive information and exercising good instincts regarding what cannot be shared;
  • Ability to follow through on commitments to others and accept and incorporate direct feedback critical;
  • Strong systems mindset and a spirit of ownership for National Operations processes in partnership with COO;
  • Interest and desire to implement and manage office operations and systems required;
  • Ability to gracefully manage multiple tasks and projects under deadline critical;
  • Ability to be flexible and agile in a fast-paced work environment;
  • Fluency in Spanish a strong plus;
  • Ability to transport items (less than 10 pounds); Ability to be stationary for extended periods of time; May require the ability to climb stairs.
